Issues & Tasks
The mobile app is where issues get raised and tasks get done. Walk up to a defect, take a photo, capture the GPS coordinates, and log an issue in under a minute — all without leaving the site. Tasks keep your to-do list in your pocket so you can update progress as you go.

Creating Issues from the Field
Logging issues on-site is one of the most valuable things the mobile app does. To create a new issue:
- Open the navigation drawer and tap Issues.
- Tap the Create Issue button (the plus icon).
- Fill in the required fields:
- Title — a clear, concise description of the problem (for example, "Cracked concrete at ground floor stairwell").
- Category — select from safety, quality, environmental, design, documentation, compliance, commissioning, defect, maintenance, or general.
- Priority — choose low, medium, high, or critical. Defaults to medium.
- Optionally add:
- Description — a longer explanation with context.
- Project — the project this issue relates to.
- Organisation — the organisation context.
- Assignee — the person responsible for resolving the issue.
- Close-out manager — the person who verifies the fix (defaults to you if left blank).
- Due date — when the issue should be resolved.
- Location description — a text note like "Level 3, north-east stairwell".
- GPS location — tap "Current Location" to capture your device's coordinates, or use the map picker to set a different point.
- Configure sharing — choose which groups or users can see this issue.
- Tap Create.
The issue is created with Raised status. If you assigned someone, they receive a push notification immediately.

💡 Tip
Use GPS capture whenever possible. A photo plus a GPS pin makes it trivial for the assignee to find the exact location of the problem on-site — no need for lengthy written directions.
Issue Attachments and Photos
You can attach photos and files to issues, both when creating and after the fact:
Adding Photos
- Tap the attachment icon on the issue creation screen or the issue detail page.
- Choose Take Photo to use your camera, or Choose from Gallery to select an existing image.
- Optionally annotate the photo — add arrows, text, shapes, or freehand drawings to highlight the problem area.
- The photo is compressed and attached to the issue.
Commenting with Photos
On the issue detail page, the comment thread lets you add text and image attachments:
- Scroll to the comments section.
- Type your comment.
- Tap the image icon to attach a photo from camera or gallery.
- Tap Send.
Comments with photos are useful for progress updates — "Fix applied, here's a photo of the completed work" — providing visual evidence throughout the issue lifecycle.

Issue Status Updates
You can progress issues through their lifecycle directly from your phone:

| Resolved | Closed | Close-out manager only |
| Resolved | Open | Close-out manager (reopen if fix is inadequate) |
To change status, open the issue detail page and tap the status action button. The available transitions depend on the current status and your role.

ℹ️ Did you know?
Only the close-out manager can close an issue. This is by design — the close-out manager verifies that the resolution meets the required standard before signing off. If the fix is not adequate, they can send it back to open status.
Issue List and Filtering
The issues list on mobile provides the same filtering power as the web:
- Status filter — show raised, open, resolved, closed, or any combination
- Priority filter — focus on critical or high-priority items
- Category filter — narrow down to safety, quality, or other categories
- Search — free-text search across issue titles
Filters combine, so you can quickly find "all critical safety issues assigned to me that are still open."

Tasks on Mobile
The task management system keeps your to-do list accessible wherever you are.
Viewing Tasks
Open Tasks from the navigation drawer to see your task list. Tasks display with:
- Title and brief description
- Status badge — to do, in progress, in review, or done
- Priority indicator
- Due date with overdue highlighting
- Assignee avatar
Creating Tasks
Tap the Create Task button to open the creation form:
- Enter a title (required).
- Optionally add a description, priority, due date, assignee, project, and organisation.
- Configure sharing.
- Tap Create.

💡 Tip
Use the Quick Task Input bar at the top of the task list for rapid capture. Type a task title and tap the add button — the task is created instantly with default settings. You can edit the details later. This is perfect for capturing action items during a site walk or meeting.
Quick Task Input
The quick task input bar is a mobile-specific feature designed for speed. It sits at the top of the task list screen:
- Tap the input field.
- Type a brief task title — for example, "Order replacement hinges for Level 2 doors".
- Tap the add button.
- The task is created immediately with default priority (medium) and no due date.
You can open the task later to add a full description, set priority, assign someone, or attach to a project. The point of quick input is to capture the thought before it slips away.
Task Detail and Editing
Tap any task to open its detail page, where you can:
- Edit the title and description — tap to edit inline.
- Change status — move the task through its lifecycle (to do, in progress, in review, done).
- Update priority — escalate or de-escalate as needed.
- Set or change the due date — extend or bring forward deadlines.
- Reassign — change the person responsible.
- Add comments — discuss the task with your team.
- View subtasks — check off subtask items as they are completed.

Task Status Updates
You can update task status with a single tap on the detail page:
- To Do — the task has been created but not started
- In Progress — work is underway
- In Review — work is done, awaiting verification
- Done — the task is complete
Status changes sync immediately with the web app. If other team members are watching the same task on the web, they see the update in real time.
Syncing with the Web
Issues and tasks sync automatically between mobile and web:
- Issues created on mobile appear in the web issue list immediately
- Photos and attachments captured on mobile are visible in the web issue detail
- Status changes made on either platform are reflected on the other
- Tasks created via quick input on mobile appear in the web task list and Kanban board
- Comments posted on mobile appear in the web comment thread
There is no manual sync — updates flow in both directions whenever you have a connection.

ℹ️ Did you know?
The web app offers a Kanban board view for tasks with drag-and-drop between columns. This is not yet available on mobile, but tasks created and updated on mobile appear on the web Kanban board for planning and review.
