Kanban Board

Some people think in lists. Others think in columns. The Kanban board in Pasco Cloud gives your team a visual overview of all tasks organised by status — drag cards between columns to move work forward, and see at a glance where everything stands.

The Kanban board — five columns for each task status, with cards you can drag between them.

What Is the Kanban Board?

The Kanban board is an alternative view of your tasks. Instead of a flat list, tasks are organised into columns — one for each status:

ColumnColourWhat It Contains
To DoGreyTasks that have not been started
In ProgressBlueTasks currently being worked on
In ReviewAmberTasks waiting for reviewer sign-off
On HoldPurpleTasks that are paused
DoneGreenCompleted tasks

Each task appears as a card in the appropriate column. As work progresses, you drag cards from one column to the next.

How to Use It

Switching Views

Toggle between list view and Kanban view using the view switcher at the top of the Tasks page. Your view preference is remembered between sessions.

Dragging Tasks

To change a task's status, click and drag its card from one column to another. When you drop the card:

  1. The task's status is updated immediately.
  2. A system comment is logged recording the status change.
  3. Relevant team members are notified (assignee, reviewer, creator).

🚀 Let's go!

Try it now: Open the Tasks page, switch to Kanban view, and drag a task from the To Do column to the In Progress column. You will see the card move and the status update instantly.

Workflow Rules

Not all transitions are valid — the board respects the same status workflow rules as the list view. For example:

  • You can drag from To Do to In Progress (starting work).
  • You can drag from In Progress to In Review (submitting for review).
  • You cannot drag from To Do directly to Done (work must be done first).

If you attempt an invalid transition, the card will return to its original column.

Card Content

Each task card on the Kanban board shows key information at a glance:

  • Title — the task name.
  • Priority badge — colour-coded indicator (red for critical, orange for high, amber for medium, green for low).
  • Assignee avatar — the profile picture or initials of the person assigned.
  • Due date — shown with overdue highlighting if past due.
  • Category badge — the task category label.
  • Subtask progress — if the task has subtasks, a progress bar shows how many are complete.

Click a card to open the full task detail page.

Filtering the Board

The Kanban board supports the same filters as the list view. Use the filter panel to narrow down what appears on the board:

  • Project — show only tasks for a specific project.
  • Assignee — show only tasks assigned to a specific person.
  • Priority — show only tasks at a certain priority level.
  • Category — filter by task category.

Filters apply across all columns simultaneously, so you can focus on exactly the tasks that matter right now.

💡 Tip

Use the Kanban board in team stand-up meetings. Filter by project, share your screen, and walk through each column left to right. "These tasks are to do, these are in progress, these are waiting for review." The visual layout makes stand-ups faster and ensures nothing is missed.

When to Use Kanban vs List

Both views show the same tasks — the difference is in how you interact with them.

Use Kanban WhenUse List When
You want a visual overview of all statusesYou need to search or filter across many tasks
You are in a team meeting reviewing progressYou need to sort by due date, priority, or assignee
You want to drag tasks to change status quicklyYou need to see detailed information in table rows
You have a manageable number of tasks on screenYou have hundreds of tasks and need pagination
You are managing a sprint or weekly cycleYou are looking for specific tasks by name

There is no right or wrong choice — use whichever view fits the moment. You can switch between them at any time.

Kanban Board on Mobile

The Kanban board is optimised for desktop screens where you have the width to display multiple columns side by side. On mobile, the list view is the primary interface for task management, with status changes available through the task detail page.
