Organisation Verification

Organisation verification confirms that your company is a legitimate, registered entity. Verified organisations can add members, create groups, and be assigned as the document admin on projects — features that require a foundation of trust.


Why Verification Matters

When multiple organisations collaborate on a construction project, everyone needs confidence that the companies they are working with are real. Verification provides that confidence.

A verified organisation:

  • Displays a green Verified badge on its profile and throughout the platform
  • Can add members to the organisation
  • Can create groups for team collaboration
  • Can be set as the document admin on projects, controlling document numbering and template context
  • Builds trust with other organisations on shared projects

An unverified organisation can still exist on the platform, but it cannot add members, create groups, or serve as a document admin. This ensures that trust-critical features are only available to confirmed entities.

ℹ️ Did you know?

Verification is about confirming your organisation is a real registered business — not about checking qualifications, licences, or financial standing. It is a platform trust mechanism, similar to a verified badge on social media.


Verification Statuses

Your organisation will be in one of four states:

How Verification Works

The verification process is straightforward:

Step 1: Prepare Your Organisation

Before requesting verification, make sure your organisation has:

  • A clear, accurate company name
  • An ABN (Australian Business Number) or NZBN (New Zealand Business Number) — this is how the platform validates your business registration
  • Your account email should be a business email that credibly represents the organisation (e.g., yourname@yourcompany.com.au)

💡 Tip

Using a business email address makes the verification review faster. A personal email (like Gmail or Outlook) can still be accepted, but the platform administrator may take longer to confirm the connection between the email and the organisation.

Step 2: Request Verification

  1. Go to your organisation detail page
  2. Click the verification badge or the Request Verification button
  3. The verification modal opens, showing your current status
  4. Click Request Verification to submit your request
  5. Your organisation status changes from Unverified to Pending

Your request includes the email address from your Pasco Cloud account, which has already been verified through the email verification process when you created your account. This email domain is the primary evidence reviewed by the platform administrator.

🚀 Let's go!

Navigate to your organisation's detail page and look for the amber "Not Verified" badge near the top. Click it to open the verification modal, then click Request Verification. That is all you need to do — the platform team will review your request.

Step 3: Platform Review

A Pasco Cloud platform administrator reviews your request. They check:

  • Whether your ABN/NZBN is a valid, registered business number
  • Whether your email domain credibly represents the organisation
  • Whether the organisation details match public business records

This review is typically completed within a few business days.

Step 4: Outcome

You will be notified of the outcome:

  • Approved — your organisation status changes to Verified and all features are unlocked
  • Rejected — your status returns to Unverified. You can update your details and request verification again

If rejected, the reason will be provided so you know what to address before resubmitting.


After Verification

Once verified, you can immediately:

  1. Add team members — invite your colleagues to join the organisation
  2. Create groups — set up groups for team collaboration and document sharing
  3. Link to projects as document admin — control document numbering on construction projects

The verified badge appears across the platform wherever your organisation is referenced, building confidence for project partners.


Re-requesting After Rejection

If your verification request is rejected, do not worry — you can try again. Common reasons for rejection include:

  • The email domain does not clearly match the organisation name
  • The ABN/NZBN could not be confirmed
  • The organisation details are incomplete or unclear

Update the relevant information on your organisation profile and submit a new verification request. There is no limit on the number of times you can request verification.


Revocation

In rare cases, a platform administrator may revoke a previously verified organisation — for example, if a business has been deregistered or if fraudulent activity is detected.

When verification is revoked:

  • The badge changes to Revoked (red)
  • The organisation can no longer add new members
  • Existing members retain their memberships, but group and member management is locked
  • The organisation cannot be set as document admin on new projects
  • Existing projects and reports created by the organisation's members remain accessible

ℹ️ Did you know?

Revocation is rare and is only used when there is a genuine concern about the legitimacy of an organisation. If your verification is revoked and you believe this is in error, contact Pasco Cloud support.
