Notices

In construction, many documents need to be formally transmitted — contract notices, extension of time claims, variation requests, show cause responses. Notices in Pasco Cloud are a category of documents specifically designed for formal transmittal via the correspondence system.

What Is a Notice?

A notice is a report created from a template whose template type has its category set to "notice" (as opposed to "report"). Notices follow the exact same creation workflow as reports:

  1. Select a template
  2. Fill in the fields — text, dates, selections, signatures
  3. Submit for approval (if the template has an approval workflow)
  4. Generate a PDF

The difference is what happens after: notices have a Send via Correspondence action that opens the compose page with the notice PDF auto-attached and the report pre-tagged. This is the primary mechanism for formal document transmittal in Pasco Cloud.


Notices vs Reports

The distinction between notices and reports is about intent, not workflow:

The template type category determines where a document appears. Reports show on the Reports page. Notices show on the Notices page. Both use the same underlying report infrastructure.


The Notices Register

The Notices page (/notices) shows all notice-category documents in a register-style layout designed for contract administration:

  • Document number — the automatically generated number (e.g. EOT-001, VAR-003)
  • Title — the notice title from the report
  • Template type — badge showing the template type (Extension of Time, Variation, etc.)
  • Status — draft, under review, approved, submitted
  • Date created — when the notice was first created
  • Date sent — when the notice was transmitted via correspondence (if applicable)
  • Sent to — the recipients of the correspondence transmittal

This register format matches how construction project managers track formal communications. You can see at a glance which notices have been sent, which are pending approval, and which are still in draft.


Sending a Notice

Once a notice has been approved (or submitted, for templates without approval workflows), the Send via Correspondence button appears on the notice detail page. Clicking it opens the correspondence compose page with:

  • The notice PDF auto-attached as a file
  • The source report pre-tagged as an entity reference
  • An empty To field for you to add recipients
  • An empty subject and body for your cover message

You add recipients, write an optional cover message providing context, and send. The correspondence record links back to the notice, and the notice register updates to show the sent date and recipients.

This creates a complete audit trail: the notice document (with its approval chain) is linked to the correspondence item (with its delivery tracking and recipient read receipts).


Industry Templates

Pasco Cloud includes pre-built notice templates for Australian contract administration:

  • 70 AS4000-2025 templates — the current Australian Standard for General Conditions of Contract. Covers progress claims, variations, extensions of time, practical completion, defects liability, and more.
  • 47 AS2124-1992 templates — the legacy standard still widely used on existing contracts. Same coverage as AS4000 adapted to the 1992 clause structure.

ℹ️ Did you know?

Template type categories (report vs notice) are managed at the platform level. The AS4000 and AS2124 correspondence templates are pre-categorised as notices. If you create your own template type that should route to the Notices page, ask your platform administrator to set its category.
