Email Notifications
Email notifications are reserved for the events that matter most — the ones you should not miss even if you are away from the app. Pasco Cloud is deliberate about what triggers an email, keeping your inbox focused on items that genuinely need your attention.
Events That Trigger Email
The following events send an email to the relevant user:
Approvals and Reports
- Approval requested — you have a report waiting for your review and sign-off. This is one of the most important email triggers because approvals are often time-sensitive and your team may be waiting on your decision.
- Report approved — your submitted report has been fully approved. Good news that closes the loop on your submission.
- Report rejected — your report has been sent back with feedback. You will need to revise and resubmit.
Issues
- Issue assigned — you have been assigned to an issue. This ensures you know about new responsibilities even if you are not actively checking the app.
- Issue status changed — significant status transitions (e.g., escalated priority) on issues you are involved with.
Invitations
- Organisation invitation — someone has invited you to join their organisation on Pasco Cloud.
- Project invitation — you have been invited to join a project.
- Connection request — another user wants to add you as a personal connection.
Account Events
- Email verification — the verification link sent when you create your account or change your email address.
- Password reset — the secure reset link when you use the "Forgot Password" flow.

ℹ️ Did you know?
Email is reserved for high-signal events — things that require your action or that close an important loop. This is intentional. Construction teams generate a lot of activity, and flooding your inbox would quickly train you to ignore notifications altogether.
Events That Do NOT Trigger Email
To keep email volume manageable, the following events are delivered through in-app and push notifications only:
- Issue comments — comments can be frequent on active issues. Email for every comment would quickly become noise.
- Task assignments and status changes — delivered via in-app and push, where they are more actionable.
- Template shared/unshared — important but not urgent enough to warrant an email.
- Report shared — the recipient will see the report in their in-app notifications.
- Report submitted (without approval workflow) — when a report goes straight to "submitted" without a workflow, there is no approver to notify via email.
The goal is that every email from Pasco Cloud is one you actually want to open.
Email Format
All notification emails from Pasco Cloud are sent from noreply@pasco.cloud via Resend. Each email includes:
- Professional HTML formatting — clean, branded email templates that render well on desktop and mobile email clients
- Plain text fallback — for email clients that do not display HTML, or for accessibility preferences
- Clear subject lines — identifying the event type and the relevant item (e.g., "Approval Requested: Site Inspection Report #47")
- Direct link — a button or link that takes you straight to the relevant item in Pasco Cloud

Email Delivery
Delivery Monitoring
Email delivery is monitored at the platform level. The admin team tracks delivery rates, bounces, and complaints to ensure notifications reach your inbox reliably. If the platform detects delivery issues to your email address, it is logged for investigation.
Troubleshooting
If you are not receiving email notifications:
- Check your spam/junk folder — email filters can be cautious with automated emails, especially from new senders. Mark emails from noreply@pasco.cloud as "not spam" to train your filter.
- Verify your email address — notifications are only sent to verified email addresses. If you have not completed email verification, you will not receive notification emails.
- Check your email address in settings — make sure your registered email is correct and current.
- Corporate email filters — some organisations have strict email filtering that may block automated emails. Ask your IT team to allowlist noreply@pasco.cloud if needed.

💡 Tip
If notification emails are landing in spam, open one and mark it as "Not Spam" or add noreply@pasco.cloud to your contacts. Most email clients will then deliver future messages to your inbox.

Email works alongside in-app and push notifications — it does not replace them. Here is how the channels complement each other:

⚠️ Watch out!
Password reset and email verification links are time-limited for security. If a link has expired, simply request a new one from the login page — do not reuse old links.
