Tasks Overview

Construction teams juggle dozens of tasks daily — material orders, inspection follow-ups, safety checks, drawing reviews, approvals. Without a system, things fall through the cracks and deadlines get missed. Tasks in Pasco Cloud give every action item a clear owner, deadline, and visual status — with a Kanban board for teams who prefer to see the big picture at a glance.

What Is a Task?

A task is an action item — something that needs to be done. Unlike issues which track problems (defects, hazards, non-compliance), tasks track work to be completed. Examples:

  • Order reinforcement steel for Level 3 pour.
  • Review updated structural drawings from the engineer.
  • Schedule pre-pour inspection with the building surveyor.
  • Prepare safety induction materials for new subcontractor.
  • Submit progress claim for March.

Each task has:

  • A title and optional description.
  • A status tracking progress through the workflow.
  • A priority — low, medium, high, or critical.
  • A category classifying the type of work.
  • An assignee who does the work.
  • A reviewer who signs off on completion.
  • Optional start date and due date.
  • Comments for discussion and attachments for supporting files.

Tasks vs Issues

Tasks and issues serve different purposes, though they share some similarities:

Both entities support comments, attachments, sharing, and audit trails. Use issues for problems and defects. Use tasks for planned work and action items.


Task Lifecycle

Every task moves through a defined workflow:

  1. To Do — the task has been created but work has not started.
  2. In Progress — the assignee is actively working on the task.
  3. In Review — the work is done and waiting for the reviewer to sign off.
  4. Done — the reviewer has approved the work. The task is complete.

Two additional statuses are available:

  • On Hold — work is paused (waiting for materials, approvals, or dependencies). The task remembers its previous status so it can resume to the right place.
  • Blocked — the task cannot proceed due to an external dependency.

ℹ️ Did you know?

Reviewer skip logic: If the reviewer is the same person as the creator (for example, you create a task for yourself), the workflow skips the "In Review" step. Moving from In Progress goes directly to Done, since there is no separate person to review.


Categories

Tasks are classified into eleven categories:

Views

Tasks can be viewed in two ways:

List View

A filterable, sortable table showing all tasks with status badges, priority indicators, assignee names, due dates, and category labels. Use filters to narrow down by status, priority, category, assignee, reviewer, project, or date range.

Kanban Board

A visual board with columns for each status — To Do, In Progress, In Review, On Hold, and Done. Drag tasks between columns to change their status. See Kanban Board for details.

Quick Task Input

The tasks page includes a quick input bar at the top of the list. Type a task title and press Enter to create a task instantly with default settings (to-do status, medium priority, you as the reviewer). This is designed for rapid capture — jot down action items during a site meeting without opening modals or filling in forms.

You can always open the task later to add more details like assignee, due date, and description.

💡 Tip

Capture now, detail later. During site meetings, use the quick task input to capture every action item as fast as people can say them. After the meeting, go back through the tasks and add assignees, due dates, and priorities. This ensures nothing gets forgotten in the moment.


Creating Tasks from Reports

Like issues, tasks can be created from flagged report fields. When a template field has "Raise Task" enabled and you flag a response, you can create a task linked to the report. The task title is pre-filled from the field label, and the link back to the source report is maintained.

This is useful for follow-up actions that are not defects — for example, an inspection item that passes but requires a follow-up check next week.


Mobile Support

Tasks are fully supported on the Pasco Cloud mobile app. You can create tasks, update statuses, add comments and attachments, and view the task list with filters. Quick task creation from report fields is also available on mobile.
