Tutorial: Linking Contracts to Projects
In this tutorial, you will create a head contract record, fill in the key details (parties, dates, value), link it to a project, and add a comment noting important contract conditions for the team. By the end, you will have a structured contract record integrated with your project data.
This tutorial assumes you have a Pasco Cloud account with at least one project already set up.
Before You Start
Make sure you have:
- A Pasco Cloud account with access to at least one project.
- The contract details handy (or you can use the example values below).
Step 1: Navigate to Contracts

Open the Pasco Cloud web app and click Contracts in the sidebar. You will see the contracts list. If this is your first contract, the list will be empty.
Click the Create Contract button to open the creation modal.
Step 2: Fill In the Contract Details

Fill in the following fields:
- Contract reference β enter "HC-2026-001" (or your own reference format).
- Title β enter "Head Contract β Riverside Commercial Development".
- Type β select Head Contract from the suggestions.
- Counterparty name β enter "Riverside Council" (or any name for the other party).
Step 3: Add Dates and Value

Fill in the optional but important fields:
- Organisation β select your organisation from the dropdown.
- Execution date β set to today's date (or the date the contract was signed).
- Commencement date β set to the project start date.
- Completion date β set to the planned project completion date.
- Contract value β enter the total contract value (for example, 4500000).
- Currency β leave as AUD (or change if needed).
Step 4: Save the Contract

Review the details and click Create.
The contract is created with Draft status. You are taken to the contract detail page where you can see all the information you entered.
Since the contract has been executed (signed), change the status to Active using the status selector.

Step 5: Link the Contract to a Project

Scroll to the Linked Projects section on the contract detail page and click Link Project.
- Select your project from the dropdown (for example, "Riverside Commercial Development").
- Set the relationship type to Parent Project β this contract governs the overall project.
- Click Save.
The project now appears in the Linked Projects section with the relationship type shown.
Step 6: Add a Second Project Link (Optional)

If your contract spans multiple projects, you can add more links. Click Link Project again and add another project with a different relationship type β for example, "Riverside Car Park" as a Delivery Project.
Each link has its own relationship type, so you can describe how the contract relates to each project differently.
Step 7: Attach the Contract Document

Scroll to the Attachments section and upload the executed contract document (PDF). If you do not have one handy, you can skip this step and add it later.
The attachment shows the filename, file size, and upload date. Team members with access to the contract can download it directly from this page.
Step 8: Add a Comment

Scroll to the Comments section and add a comment noting key contract conditions that the project team should be aware of:
"Key conditions for the team: Clause 34.1 requires 14 days written notice before any variation claim. Clause 42.3 specifies liquidated damages of $5,000 per day for late completion. Progress claims due on the 25th of each month."
Click Post. The comment is now visible to everyone who has access to the contract, providing a quick reference for important conditions without needing to read the full contract document.
Step 9: Share the Contract

If other team members need to see this contract, use the Sharing section to add them:
- Share with specific users β for example, your project manager and quantity surveyor.
- Share with a group β for example, your project team group.
- Or mark as public if everyone should have access.
Shared users receive a notification that a contract has been shared with them.
What You Have Accomplished
In this tutorial, you:
- Created a structured contract record with reference, title, type, counterparty, dates, and value.
- Changed the contract status from draft to active.
- Linked the contract to one or more projects with relationship types.
- Attached the contract document for easy reference.
- Added a comment highlighting key contract conditions for the team.
- Shared the contract with team members.
