Mobile Reports

The mobile app gives you the full report workflow in your hand — select a template, fill in fields on-site, capture photos with your camera, sign with your finger, and submit for approval without returning to the office.

Creating a Report on Mobile

To create a new report from your phone:

  1. Open the navigation drawer and tap Reports.
  2. Tap the Create Report button (the plus icon).
  3. Select a template — templates are shown as a scrollable list with the template name, type badge, and avatar. Only templates shared with you are displayed.
  4. Set the context — choose the project and organisation for this report. If the template is scoped to a specific organisation or project, these are pre-filled.
  5. Tap Create to start the report.

You are taken directly into the mobile report builder, ready to begin filling in fields.

You can also create a report directly from a template. Navigate to Templates, find the template you want, and tap Create Report from the template detail screen. This skips the template selection step.


The Mobile Report Builder

The report builder on mobile mirrors the web version, adapted for smaller screens. All 14 field types are fully supported:

  • Text fields — single-line and multi-line text input with your device keyboard
  • Number fields — numeric keypad input with optional units
  • Date and time — native date and time pickers
  • Checkbox — tap to toggle yes/no
  • Multiple choice — tap to select one or more options
  • Dropdown — tap to open a selection list
  • Slider — drag between minimum and maximum values
  • Media — capture or select photos (see below)
  • Signature — freehand signature capture (see below)
  • GPS / Location — capture coordinates from your device
  • Site — select from a list of project sites
  • Person — select a user from the project team
  • Document number — reference another document
  • Instruction — read-only guidance text from the template designer

Reports with multiple pages show a page indicator at the top and Previous / Next buttons at the bottom. Swipe or tap to move between pages. The last page shows a Submit button instead of Next.

Repeatable Sections

If the template includes repeatable sections (for example, a checklist where the number of items varies), you can add and remove rows on mobile just as you would on the web. Tap Add Row to add a new set of fields, and tap the delete icon on a row to remove it.

Conditional Logic

Templates with conditional logic work automatically on mobile. Fields appear or hide based on your responses — for example, selecting "Fail" on an inspection item may reveal a "Corrective Action" text field. No extra steps are needed.


Camera Capture

One of the biggest advantages of mobile reporting is direct camera access. When a report field accepts images:

  1. Tap the camera icon or Add Photo button on the field.
  2. Choose Take Photo to open your device camera, or Choose from Gallery to select an existing photo.
  3. The photo is captured and compressed automatically for faster uploads.
  4. The photo appears as a thumbnail in the field.

You can attach multiple photos to a single field if the template allows it.

💡 Tip

Photos are compressed before upload — typically to 100-500 KB each — so they upload quickly even on mobile data. The compression is automatic and preserves enough quality for construction documentation purposes.


Image Annotation

After capturing or selecting a photo, you can annotate it before attaching it to the report. The built-in image editor supports:

  • Arrows — point to specific defects, features, or areas of concern
  • Text labels — add notes directly on the image
  • Shapes — draw rectangles, circles, and lines to highlight areas
  • Freehand drawing — sketch directly on the photo with your finger
  • Colour selection — choose annotation colours for visibility against different backgrounds

This is invaluable for site documentation — a photo of a crack with an arrow and a measurement label communicates far more than a photo alone.

Signature Capture

Signature fields open a full-screen drawing canvas where you sign with your finger or a stylus:

  1. Tap the signature field in the report.
  2. The signature canvas opens in full screen.
  3. Sign using your finger or stylus — the app uses smooth ink rendering for natural-looking signatures.
  4. Tap Done to save, or Clear to start again.
  5. The signature appears as an image in the field.

Signatures are captured as PNG images and embedded in the report. They appear in the final PDF exactly as drawn.

ℹ️ Did you know?

Signature capture works entirely on-device — no internet connection is needed for the drawing itself. The signature is stored locally with your draft and uploaded when you save or submit.


GPS and Location Fields

When a report contains a GPS or location field:

  1. Tap the GPS field to capture your current location.
  2. The app reads your device's GPS coordinates automatically.
  3. An inline map preview shows the captured location as a pin.
  4. You can tap the map to adjust the pin if needed.

GPS works independently of your internet connection — the coordinates come from your device's hardware. The map preview requires some connectivity to load map tiles, but the coordinates themselves are captured regardless.


Field Response Images

Beyond dedicated media fields, most field types support adding photos alongside your response. If the template designer has enabled images on a field, you will see an Add Photo option below the field input. This lets you provide photographic evidence to support your answer — for example, attaching a photo of a completed item next to a "Pass" checkbox.

Auto-Save and Drafts

The mobile app auto-saves your report as you work:

  • Auto-save — changes are saved to the server periodically. A save indicator shows the current status.
  • Draft preservation — if you close the app, receive a phone call, or lose connectivity, your draft is preserved. Navigate back to the report from the Reports list to continue.
  • Draft status — reports in progress show a "Draft" badge in the report list, making them easy to find.

⚠️ Watch out!

While text input and photo capture work with intermittent connectivity, saving your draft to the server requires some connection. If you are working in a dead zone, your changes are held locally until the connection returns. See Offline Mode for more details.


Previewing and Submitting

When your report is complete:

  1. Navigate to the last page of the builder.
  2. Review your responses — scroll through each page to check for completeness.
  3. Tap Submit on the final page.

If the template has an approval workflow, the report status changes to under review and the first approver is notified via push notification. If there is no workflow, the report goes straight to submitted status.

Required Fields

If any required fields are empty, submission is blocked. The app indicates which fields need attention so you can go back and complete them.

Preview

You can preview the report from the report detail page before submitting. The preview shows your responses in a clean, read-only layout — useful for a final check before hitting submit.


Approving Reports on Mobile

If you are a designated approver, you can review and approve or reject reports directly from your phone:

  1. You receive a push notification when a report needs your review.
  2. Tap the notification to open the report detail page.
  3. Review the responses, photos, and signatures.
  4. Tap Approve or Reject with an optional comment.

This means your team is not waiting for you to get back to a desk. Time-sensitive approvals can happen on-site or on the move.


Syncing with the Web

Reports sync automatically between mobile and web. A report started on your phone appears in the web app, and vice versa:

  • Drafts created on mobile appear in the web report list as drafts
  • Submissions from mobile trigger the same approval workflow as web submissions
  • Photos and signatures captured on mobile are visible in the web report detail and PDF
  • Approvals made on mobile update the status visible on the web

There is no manual sync step — everything happens automatically when you have a connection.
